Do you Folio?

What is Folio, you ask? It is a transaction check list that keeps me organized and lets my client, the Realtor, know what is happening throughout the transaction process. 

Organization is key! Folio takes all the emails that come in to my inbox and organizes them by property address… automatically.  You have the option to change that information or correct it, if it is wrong, but it is seldom wrong. I really appreciate this, as I like to have an organized email inbox!

The timeline function is where the checklist is. This is my favorite! I have my own custom timeline for each kind of transaction, seller or buyer. This is done with the templates. The timeline can be further customized with the start of each new transaction by deleting unnecessary items, adding others and adjusting the due dates. As the transaction progresses, I am able to share the progress with my client and, if they wish, their client. I can leave notes, for example… I can mark the Survey/T-47 as “in progress” and make a note that I have received the survey and am facilitating the notarization of the T-47 Affidavit (because I am a Notary Public). Once I have received the T-47, that item is marked as “complete” and the Agent is updated. Folio also sends an email to let me know of upcoming events, such as, “option period ends on ____ date” a couple days before so I can remind my client or check for possible missing items (like a repair amendment or option extension).

What exactly do we do? Below are some bullet points of the functions our company preforms for our clients to help them be more successful and enjoy their career.

The benefits of a transaction coordinator are unmeasurable...
  • Online portal to submit forms starting with the Buyer’s Representation Agreement or Listing Agreement. That’s Right, we do it all! Even better, you can submit the forms while you are with your client from your phone or laptop.
  • Coordinate That LLC has our own Docusign account so the Agent doesn’t have that added expense.
  • The status of the transaction is always up-to-date with shared notification emails with all involved.     
  • Compliance is such a crucial role in what we do! We send out documents for signing & verify required signatures on all documents. We do the same for all required addenda for each transaction. 
  • Send copies of the contract and supporting documents to all parties, including the Listing Agent, Seller, Selling Agent, Buyer, Lender and Title. 
  • Upload the required transaction documents to the Broker Document Portal. in a timely manner. This seemed to always be an issue at my last position and I can alleviate that!
  • Submit the CDA request to the Broker. 
  • Verify that title received the Commission Disbursement. Getting paid is a GOOD thing!
  • Everyone can always use another hand, so we send deadline reminder and upcoming transaction event reminders.
  • Follow up with Title, Lender and other Agent as needed.

What this means for you is… less stress, little to NO paperwork, accurate documentation,  continuous communication throughout the process and a professional & friendly assistant at your disposal!

The cost for our services are simple. A listing transaction is $400 and for the Buyer’s side, it is $350. The additional cost on the Listing side is the MLS input and close out.

Hi all! This is so exciting, to launch our very own company! Let me tell you a little bit about us! 

My name is Briana (Brie) Hakes. I have 4 grown girls, cat that goes by multiple names (everyone calls her something different & she knows you are talking to her! I call her Kitty), a almost 6 mo. old Great Dane puppy named George and a Sheep-a-doodle puppy to arrive in a couple weeks named Oliver! Of course my husband is a peach, raising 4 girls and putting up with me! HA!

Now a little about how Coordinate That LLC came to be. This is something I have wanted to do for a long time. I worked for a Real Estate Brokerage and absolutely LOVED my job. I solely managed the office of, at one point, 160 Agents, managing the calendar for outing events and Agent training, on-boarding & de-boarding Agents, transaction review & compliance, Agent Concierge (training new Agents on our systems) and much, much more. I learned SO much during this time and I cherish that knowledge!

In January, my dad was admitted to the hospital and was diagnosed with Leukemia. He would come to live with my family and receive treatment in Dallas. This was my opportunity for change because otherwise, I don’t know that I would have left my current position. This was a horrible time of heartache for our family. He did not make it to treatment as his health diminished rapidly and passed within a couple weeks. I can choose to fret about the loss of my dad or I can look at some of blessings that came…1.  He only had to suffer briefly.  2. My sister and our families were with him almost every minute which was a blessing for our relationships to be with each other and dad for that period of time. HUGE Blessing! 3. This company start up. I miss my dad more then I can express but know that I am only being selfish in wanting him here. I will see him again.

SO, I got things rolling in June. I trained the new people to replace me at the Brokerage and I was off and running on my own. Learning and growing everyday which is my purpose, “To learn and to enrich”. I hope to learn all that I can in order to enrich the lives around me, be it my children, my clients, or strangers I meet out and about. Life is so short… That being said, our goal is to enrich the lives of our clients and build relationships on trust and value. We accomplish this by taking the dreaded paperwork (which is my favorite) and the other administrative aspects of being a Realtor off our clients chest so that they can do what they love to do!
